How to stop your team contacting the same creator twice
When several teammates source creators at once, duplicate outreach is prevented by three rules - one record per creator, one owner at a time, and unworked creators returned on schedule. Includes how XT OS Outreach applies them.
When several people on a team source creators at the same time, duplicate outreach is prevented by three rules: one record per creator, one owner per creator at any given time, and creators that nobody is working on go back to a shared pool on a fixed schedule - but never after the first email has been sent. Without all three, a growing team will sooner or later send the same creator two invitations from the same brand, often with different offers.
How duplicate outreach usually happens
- Duplicate records: two teammates add the same creator with slightly different profile URLs (tracking parameters, letter case, a trailing slash), so a simple duplicate check misses it.
- Verbal claims: "I'll take this one" is said in a group chat but never recorded anywhere the rest of the team can see.
- Claimed but idle: a promising creator is claimed and then left untouched, and nobody else dares to step in.
- Logging contact too late: contact is only logged once the creator replies, so a second email goes out in the meantime.
Rule 1: one record per creator
Use the profile URL as the unique key rather than a display name or email address - names change and repeat, and emails are often managed by agents. Normalise URLs before comparing them (strip parameters, unify case, drop trailing slashes). Accounts belonging to the same person on TikTok, Instagram and YouTube should sit under the same creator.
Rule 2: one owner at a time
Each creator has exactly one owner, and only the owner sends emails and offers. Teammates who spot a good creator leave a note on the record instead of reaching out themselves. Ideally, contact details are visible only to the owner.
Rule 3: return idle creators on schedule, never after the first email
Creators that have been claimed but not worked on should go back to a shared pool so someone else can pick them up. Once the first email has been sent, however, the creator stays with the same owner - otherwise they will hear from two people at the same brand.
How XT OS applies these rules
In XT OS, these rules are enforced by Outreach (outreach orchestration, live):
| Rule | How Outreach handles it |
|---|---|
| One record per creator | When a candidate is added, the system checks the profile URL against the whole database; if the creator already exists, the submission is rejected with a notice |
| One owner | Each creator has a single owner, and only the owner or an admin can draft and send emails; contact details are visible to the owner |
| Return on schedule | Creators sourced by the system or an admin return to the public pool after 72 hours without progress; creators submitted by a teammate return after 7 days |
| No change after first email | Once the first email has been sent, the creator is no longer reclaimed by the system |
Contacts, replies and next steps are kept in the outreach records, so handovers keep their full context.
Limitations
- No self-serve checkout: every account is reviewed and set up with a consultant. There is no free trial.
- Matcher (creator matching) is in beta, and several other agents are not yet available; see the status labels on the homepage.
- For a team of one or two, a shared spreadsheet plus the three rules above is usually enough.
- Who on the team can see a creator's contact details?
- XT OS uses role-based permissions, and contact details are visible to the creator's owner.
- How long before a claimed but idle creator is returned?
- In XT OS, creators sourced by the system or an admin return to the public pool after 72 hours without progress; creators submitted by a teammate return after 7 days.
- Can a creator be reclaimed after the first email has been sent?
- No. Once the first email has been sent, the creator is no longer reclaimed by the system.
